Sky Bayan Human Resources Management System Grand Project at Gulf Hotels Group

Introduction

Sky Software is pleased to share with you the successful installation of Bayan Human Resources Management at Gulf Hotels Group. The project constitutes of one centralized database hosted at Azure cloud platform and services with multi property structure covering all Gulf properties distributed in Bahrain, UAE, Zanzibar and Colombo, this includes; Gulf Hotel Group Head Office, Gulf Court Hotel Business Bay Dubai, Ocean Paradise Resort- Zanzibar, Gulf Hotel Bahrain Convention & Spa, Gulf Executive Residence Juffair, Gulf Hotel Laundry Services, Gulf Brands International, ASDAL Gulf INN, The K Hotel and GHG Colombo.

The solution

Bayan HRMS was selected to replace the group legacy systems; OPTUMUM and Oasys, following the efficiency Bayan HRMS has obviously proved in a very well-known hospitality chains in the Middle East and beyond over the past twenty years.

Installing Bayan has immediately provided a solid base to manage employee profiles, official documents, alerts and expiry dates, whereas it made it easier to handle employee attendance, subtractive hours and total extra hours, which helped in managing employee overtime sheet. Timekeeping interface was successfully activated with all the properties attendance devices which were also connected to one database, this has also allowed for a total control over all vacation type balances. On the other hand, Bayan has allowed the HODs to complete their attendance; a feature was missing in the legacy systems.

Calculating employee payroll, indemnity, termination and prepayment calculations became much easier with the advanced rules in Bayan Payroll system, covering LMRA (Labour Market Regulatory Authority) fees and GOSI deductions as per Bahrain and other countries laws.

All employee personal emails were successfully defined in Bayan as to send them their payslip automatically. Payroll Bank Interfaces were also defined to send the exact bank format to the main banks as per their structure and format.

In addition, Sun Back office interface was implemented to enable the automatic import of vacation, tickets and indemnity accruals and statistical vouchers.

Finally, Bayan Workflow Management has allowed for an automatic approval cycle for all employee requests, activating the cluster approval cycle which has enabled the head office of keeping control of all employee requests in all properties.

Impact

Throughout the project six properties were able to close their payroll month successfully and accurately without any delay, errors or duplicates.

The group's management was highly impressed with the professionalism, accuracy and effectiveness Bayan HRMS has successfully accomplished covering all HR related tasks and transactions.
